Parents'
Committee Cabinet
These guidelines are used for defining areas of responsibilities for Officers
of the Parents' Committee. The job descriptions can and should be interpreted
and altered as conditions dictate.
I. CHAIRPERSON
a. Preside over monthly Parent Meeting
b. Maintain open communications with other Organizations within the Temple;
attends Temple's Board Meeting.
c. Oversee Committee Officers and Chairpersons; maintain proper interpretations of their
responsibilities.
d. Term of Office is 1 year.
II. VICE CHAIRPERSON
a. Presides over monthly Parent Meeting
in absence of Chairperson.
b. Maintain open communications with other Organizations within the Temple;
attends Temple's Affiliated Organization Meeting.
c. Assist to oversee Committee Officers and Chairpersons; maintain proper interpretations
of their responsibilities.
d. Circulate and maintain Girl Scout Garden Clean Up and Refreshment Schedules.
f. Term of Office is 1 year with automatic Chairperson appointment for following
year.
III. TREASURER
a. Maintain Troop Checking Account (authorized
signatures should only be the Treasurer, Chair and Troop Leader).
b. Submit accounting summaries to the parents at monthly Parent Meetings
and the Annual Report to the Temple.
c. Issue reimbursements for expenditures deemed as Troop functions.
IV. RECORDING SECRETARY
/ CORRESPONDING SECRETARY
a. Record the minutes of Monthly Parent
Meetings and present them for approval at the next Meeting.
b. Responsible for Troop correspondence, i.e.
gifts, cards etc.
c. Keep membership information current (names, address, phone numbers,
levels, etc.)
VI. HISTORIANS /
PUBLICITY
a. Take pictures and maintain scrapbook.
b. Submit news articles to JIHO, and Wheel of Dharma and Nembutsu.
Committee Descriptions and Duties for
Chairpersons and Members
Toward the end of each year, Committee Members
are chosen for the following year. Each family needs to participate on at
least one committee.
The Chairperson is responsible for overseeing and
delegating the tasks for the Committee. The following information is a general
list of responsibilities by committee. For further details, please refer
to the appropriate Committee Notebook.
COOKIE COMMITTEE
(3rd Year Brownies)
Attend planning meeting at Angeles Council;
distribute and collect order forms; place order with Council; arrange for pick-up and distribution of
merchandise; collect money and prepare final reports.
COURT OF AWARDS (2nd Year
Cadettes)
Circulate sign-up sheet for potluck dinner;
prepare beverages and provide paper goods; responsible for refreshment
area before, during and after event.
HALLOWEEN (2nd
Year Juniors)
The Halloween party is organized in conjunction with the Nishi Cub Scouts.
Odd Numbered Years: Programming/ Master
of Ceremonies
Plans and coordinates activities, games and prizes; remind Brownie Leaders to choose Challenge Activity (Brownies vs.
Cubs); provide requirements to appropriate organizations for audio equipment and
table set-up.
Even Numbered Years:
Refreshments / decorations; plan and prepare food sign-up requirements; provide drinks and paper
supplies; responsible for refreshment area before, during and after party.
NUTS & MAGAZINE COMMITTEE
(3rd Year Juniors)
Attend planning meeting at Angeles Council;
distribute and collect order forms; place order with Council; arrange for pick-up and distribution of
merchandise; collect money and prepare final reports.
OBON
(3rd Year Cadettes)
Attends Affiliated Organization Obon meetings;
plan shift schedules and organize booth.
YAKISOBA
(3rd Year Seniors)
Attends Affiliated Organization Yakisoba
meetings; distribute tickets and collect ticket money; work with Boy Scouts and Cub Scouts to set work
schedules; plan shift schedules; be a shift leader.
YEAR END PARTY
(2nd Year Seniors)
Chair of event is a rotating position among the
Scouting organizations and Parent Committee Chairperson must MC event (Girl
Scouts will Chair in 2005, then every three years thereafter); circulate sign-up
sheet for potluck dinner; provide coffee and tea for guests and members.
